5 Questions to Ask When Choosing an Event Venue

Choosing the right venue is one of the most important decisions you'll make when planning an event. It sets the tone, influences the guest experience and can have a significant impact on your budget and the overall success of the day.

The reality is that many organisers focus on appearance, location or headline capacity without considering the practicalities that make an event run smoothly. A beautiful venue isn't always the right venue.

Before signing a contract, ask yourself these five questions.

1. Will the Location Work?

Location is about far more than a postcode.

Think about how your guests will actually arrive. Is the venue within walking distance of major stations? Is there parking nearby? Are there hotels for guests travelling from further afield? How long will transfers take from the airport?

If attendees struggle to reach your event, arrive late or leave early because of transport issues, the venue could negatively impact the experience before the event has even started.

Accessibility should also be considered. Ensure the venue provides step-free access, lifts where required and facilities suitable for every guest attending.

A convenient location often delivers a far better event than a more prestigious venue that is difficult to reach.

2. Does the Venue Work for Your Event Format?

One of the biggest misconceptions in events is that capacity equals usability.

A venue that advertises a capacity of 300 guests may not comfortably accommodate 300 guests once staging, catering stations, bars, production equipment, furniture and exhibition stands are installed.

Think about how your event will actually operate.

  • Will guests be networking?

  • Is there space for registration?

  • Are breakout areas required?

  • Will catering service interrupt the flow?

  • Is there room for exhibitors or sponsors?

  • Do speakers have sufficient backstage space?

The best venue isn't necessarily the one with the biggest capacity—it's the one that supports the way your event needs to function.

3. What's Included in the Venue Hire Cost?

Venue hire costs can vary dramatically, but so can what is included.

Some venues include furniture, AV equipment, WiFi, security, staffing and cleaning, while others charge separately for every additional service.

Before comparing prices, ask exactly what is included.

Additional costs can include:

  • Audio visual equipment

  • Furniture hire

  • Security staff

  • Event managers

  • Cloakroom staff

  • Internet upgrades

  • Cleaning charges

  • Power distribution

  • Production support

What initially appears to be the cheapest venue can quickly become one of the most expensive once all additional costs are factored in.

Always compare the total event cost rather than simply the room hire fee.

4. Is the Venue Fully Accessible?

Accessibility should never be an afterthought.

Every guest should be able to enjoy the event comfortably and safely.

Consider:

  • Step-free access

  • Accessible toilets

  • Passenger lifts

  • Hearing loops

  • Accessible entrances

  • Loading access for equipment

  • Suitable circulation space for wheelchair users

Accessibility also extends beyond mobility. Consider lighting, acoustics and facilities that create a welcoming environment for all attendees.

A venue that works for everyone creates a far better guest experience.

5. Are There Any Venue Restrictions?

Every venue has rules, and these can have a significant impact on your event.

Ask about:

  • Supplier restrictions

  • Approved caterers

  • Noise limitations

  • Curfews

  • Loading times

  • Rigging restrictions

  • Candles or pyrotechnics

  • Drone usage

  • Vehicle access

  • Setup and breakdown windows

Restrictions aren't necessarily a problem, but knowing them early allows you to plan accordingly and avoid unexpected costs or last-minute compromises.

Many event organisers discover these limitations only after contracts have been signed, leaving little flexibility to adapt.

Choosing the Right Venue

Finding the perfect venue isn't simply about choosing somewhere that looks impressive. It's about selecting a space that supports your objectives, your guests and the practical delivery of your event.

Taking the time to ask the right questions can save thousands of pounds, reduce stress and ensure your event runs exactly as planned.

If you're unsure where to start, working with an experienced venue finding agency can simplify the process and help identify venues that genuinely fit your brief, budget and event goals.
