Confidentiality Policy 

How Do We Protect You.

At Match My Venue, we recognise the importance of maintaining the confidentiality of the information entrusted to us by our clients, venues, and suppliers. This policy outlines how we handle and protect sensitive information to ensure that all parties’ privacy is respected and safeguarded.

1. Types of Confidential Information

We handle and protect the following types of confidential information:

  • Client Information: Including names, emails, phone numbers, and company details.

  • Financial Information: Client spending details, including amounts spent on specific aspects of events.

  • Venue and Supplier Agreements: Pricing information supplied by venues and copies of agreements between clients and suppliers.

2. Confidentiality Obligations

  • All employees are required to maintain strict confidentiality regarding any client, venue, or supplier information. They must not discuss client spending or any other sensitive details with anyone outside the company.

  • Third parties (venues or suppliers) are provided with client information only for the purpose of securing event spaces or services. No further sharing of this information is permitted without explicit consent.

3. Information Sharing and Usage

  • Client information is shared only with venues or suppliers to facilitate the contracting and securing of event spaces or services.

  • We do not share or forward copies of contracts or invoices to any third parties, including the client. These documents are solely used for securing event arrangements and raising commission payments.

4. Retention of Confidential Information

  • Confidential information, including financial records and agreements, is retained for a period of 8 years before being archived. This retention period ensures that we can refer back to the information if needed for future events or dealings with the client.

5. Breach of Confidentiality

  • Any breach of confidentiality by employees or suppliers will be taken seriously, and legal action will be pursued where necessary to protect the interests of the company and its clients.

  • Match My Venue is not responsible for taking legal action on behalf of clients regarding confidentiality breaches related to their agreements with venues or suppliers. Clients are responsible for pursuing their own legal remedies if necessary.

6. Legal Action
  • In cases where confidentiality is breached by an employee or supplier, Match My Venue will initiate legal proceedings to protect confidential information and recover any damages resulting from the breach.

  • The company does not, however, act on behalf of the client in pursuing legal action regarding breaches between the client and venues or suppliers.
