Ethical Business Policy 

How We Manage Our Integrity. 

At Match My Venue, we are committed to maintaining the highest standards of integrity, fairness, and transparency in all our business dealings. This policy outlines our approach to ethical practices, ensuring that the interests of our clients, suppliers, and partners are always prioritised.

1. Client-First Approach

  • We always recommend the best venue or supplier for the client based on their needs, ensuring the client’s preferences and requirements are our top priority.

  • While we may highlight sustainable options, the final decision on venues and suppliers is always made by the client.

  • Our commission structure is transparent: we take a 10% commission from suppliers, and we do not accept any increased commissions or incentives to influence our recommendations.

2. Neutrality and Non-Discrimination

  • We work with all clients, venues, and suppliers without discrimination, regardless of race, sexuality, or any other personal characteristics. We are committed to neutrality in all business dealings.

  • All employees have been trained in recognising and addressing unconscious bias, and we do not allow personal agendas or relationships to influence our recommendations.

3. Responsible Sourcing

  • We prioritise working with environmentally friendly and sustainable companies whenever possible, provided these options are the right fit for the client.

  • We ensure that no personal relationships or recent meetings with suppliers or venues influence our recommendations, and any unusual increases in business for specific suppliers are carefully reviewed.

4. Fair Treatment and Fair Pay
  • We believe in fair pay and do not support unpaid work or internships. Everyone who works with or for Match My Venue is compensated fairly for their time and efforts.

  • We participate in a mentoring program to support and guide the next generation of event professionals.

5. Anti-Bribery and Gift Policy
  • We do not accept personal gifts from suppliers or venues in exchange for business. Any gift exceeding £50 must be declared in writing to the CEO.

  • Gifts that can benefit the company are acceptable, but personal-use gifts are not.

  • Client gifts as a token of appreciation for hard work are acceptable under the same guidelines.

  • We do not accept expensive lunches from suppliers or clients. While business-related lunches may occur, they must be modest and focused on improving relationships or discussing requirements.

  • We do not accept cash or equivalent gifts under any circumstances.

6. Entertainment of Clients
  • Entertaining clients is only done to discuss requirements or future projects. These meetings take place at reasonable venues, and we avoid luxury or extravagant locations.

  • Client entertainment is never used to influence decisions or outcomes and is strictly for business purposes.

7. Monitoring Business Relationships
  • We monitor business relationships with venues and suppliers to ensure that our recommendations are always based on what is best for the client and not influenced by personal gain or recent meetings.

  • If an unusual increase in business for a specific supplier is detected, a review is conducted to ensure decisions remain client-focused.
