
Standard Venue Terms & Conditions
Match My Venue
These terms apply to all venues who accept event enquiries, bookings, or introductions from Match My Venue, a trading name of Events Networking Limited, registered in England and Wales (Company No. 15296018) with its registered office at 32 Hayes Square, Exeter, EX5 7AT. IATA TIDS Number: 96173803.
By accepting an enquiry, introduction, or confirmed booking via Match My Venue, the venue agrees to the following terms:
1. Introductions & Role of Match My Venue
1.1 Match My Venue acts as an intermediary venue-finding service, introducing clients to venues based on their event requirements.
1.2 The venue acknowledges that Match My Venue is acting as an introducing agent and is entitled to commission on any event confirmed through this introduction.
2. Commission Structure
2.1 A commission of 10% (plus VAT) is payable on the total contracted event spend, based on the final confirmed amount prior to the event date.
2.2 Commission is not applicable to discretionary or on-the-day spend, unless included in the final signed contract before the event.
2.3 If the contracted value increases prior to the event, Match My Venue is entitled to 10% commission on the revised total.
2.4 If the client rebooks the venue within 24 months, Match My Venue is entitled to 10% commission on any future contracted bookings made by that client, even if made directly.
3. Payment Terms
3.1 Commission will be invoiced by Match My Venue after the event takes place and is payable within 28 calendar days of the invoice date.
3.2 Late payments will incur interest at 5% above the Bank of England base rate, accruing daily until full settlement.
3.3 Commission remains payable regardless of whether the client pays, defaults, or is refunded, except in the case of a valid Force Majeure event (see Clause 6).
4. Client Responsibility
4.1 Once the booking has been handed over, the venue assumes full responsibility for issuing contracts, collecting payment, delivering the event, and managing the client relationship.
4.2 Match My Venue has no liability for the conduct of the client, performance of the venue, or any element of the event delivery after handover.
5. Non-Circumvention
5.1 The venue agrees not to bypass Match My Venue in order to avoid commission payments.
5.2 Any attempt to contract with a referred client without honouring Match My Venue’s terms will result in full commission being invoiced, along with recovery of any legal costs if necessary.
6. Force Majeure
6.1 Commission is not payable if an event is fully cancelled due to a Force Majeure event (such as natural disaster, pandemic, or government restriction) and no payment has been retained by the venue.
6.2 If a deposit or part payment is retained, commission will be due on the retained amount.
7. Branding & Marketing
7.1 Match My Venue may use the venue’s name, logo, and event images (with credit where appropriate) in marketing, press, and promotional materials for the purpose of showcasing bookings placed through its service.
7.2 The venue may not use Match My Venue’s brand, logo, or name in any materials without prior written permission.
8. Data Protection (GDPR)
8.1 Both parties agree to comply with the UK GDPR and Data Protection Act 2018.
8.2 Any client data shared by Match My Venue must be used solely for the purpose of managing the booking and may not be used for marketing or third-party communications.
8.3 Data must be kept securely and deleted when no longer required.
9. Governing Law
These terms are governed by the laws of England and Wales, with any disputes subject to the exclusive jurisdiction of the English courts.
